How REGIS-EAAS collects, uses, shares and retains personal data.

Scope of this policy

REGIS-EAAS SRL, Rond-Point Robert Schuman 6/5, 1040 Brussels, Belgium (VAT BE 1042.064.070), is the controller of the personal data described in this policy. It covers this website and our business contacts with prospects, customers and partners.

When our customers use the REGIS-EAAS platform, we process data on their behalf as a processor within the meaning of Article 28 GDPR, under a Data Processing Agreement. In that case, the customer's own privacy notice applies. The platform is designed to receive cryptographic hashes, not the underlying records.

What personal data do we process?

Contact requests: Name, work email, company name, the topic you select, your optional note, and the page from which you sent the request.
Email exchanges: Your email address, name and the content of your messages to info@regis-eaas.com.
Call bookings: The information you enter when booking a call through Calendly (name, email and any answers you provide).
Business relationship: Contact details and role of the people we work with at prospects, customers and partners.
Technical data: IP address, date and time of access, pages requested and browser type, recorded by our hosting provider for security and operation of the website.

We do not ask for sensitive data. Please do not include any in your messages.

Why do we process it, and on what legal basis?

Answering your requests and sending the information you ask for: Steps taken at your request before entering into a contract (Art. 6(1)(b) GDPR) or our legitimate interest in answering business enquiries (Art. 6(1)(f)).
Organising and holding calls: Same bases as above.
Managing our relationship with customers and partners: Performance of a contract (Art. 6(1)(b)) or our legitimate interest (Art. 6(1)(f)).
Securing and operating the website: Our legitimate interest in keeping the website available and secure (Art. 6(1)(f)).
Meeting our legal obligations: Compliance with legal obligations, such as accounting (Art. 6(1)(‌c)).

We do not send newsletters, we do not sell personal data, and we do not use personal data for automated decision-making or profiling.

Who receives your data?

Access is limited to REGIS-EAAS staff who need it. We also rely on the following service providers, bound by data processing terms:

Website hosting: Google Cloud Platform (Google Cloud EMEA Limited, Belgium)
Email: Google Workspace (Google Cloud EMEA Limited, Ireland)
Call scheduling: Calendly LLC (United States)

Data may also be disclosed to competent authorities where the law requires it.

Transfers outside the European Union

Some providers, including Calendly, may process data outside the European Economic Area. Such transfers rely on an adequacy decision, such as the EU-US Data Privacy Framework where the provider is certified, or on the European Commission's Standard Contractual Clauses.

How do we protect your data?

The website is served over an encrypted connection (HTTPS). Access to personal data is restricted to authorised people and protected by access controls at our service providers.

Your rights and how to exercise them

You have the right to access, rectify and erase your data, to restrict or object to its processing, and to data portability. You can object at any time to processing based on our legitimate interest.

To exercise these rights, write to info@regis-eaas.com. We reply within one month. This period can be extended by two months for complex requests, in which case we inform you. We may ask you to confirm your identity.
